What does Clinical trial management system (CTMS) mean in clinical research?

A clinical trial management system is the operational record of a study. Site-focused CTMS products are built to cover trial execution end to end; RealTime, for example, describes its CTMS as purpose-built for research sites to streamline trial execution, including recruitment, coordinator activities, finances and site management.^⁠[1] Sponsor and CRO versions focus more on oversight across many sites: activation status, monitoring visits and enrollment by site.

For enrollment, the CTMS is where recruitment status should end up: who was referred, pre-screened, scheduled, consented and randomized. When outreach lives in spreadsheets or a separate tool and never reaches the CTMS, the site loses its own funnel data, and its answers to the next feasibility questionnaire become estimates from memory.

Practical note: before adding a recruitment tool, decide which system is the source of truth for participant status and how referrals will reach it, whether by API, file import or manual entry.
